Account Coding
The SGF team codes all transactions as accurately as possible. However, we rely on project leaders to review financials on a regular basis and let us know if there are any corrections to the account coding. Project teams may have additional insights and information that can improve the accuracy of the coding and in turn, project financial reporting. Notify us at accounts@socialgoodfund.org of any changes that should be made to transaction coding.
When reviewing revenue transactions in your Sage financial reports, it is important to distinguish revenues between Earned Income and Contributed Income as this distinction has donor/tax reporting implications and needs to be properly classified on our financial statements. Revenue needs to be properly classified to clearly distinguish tax-deductible donations from earned income or other income where goods or services were provided and the payment is not deductible for donor tax purposes. See below for the specific account codes that should be used for each type of income.
Earned Income
4101 – Fee for Service This is for work done for a fee, for example in exchange for events/workshops, an honorarium, ticket sales, etc.
4103 – Memberships, Subscriptions, or Registrations Used if someone registered for an event/race or was paying for yearly dues.
4104 – Products / Merchandise Prior to using this code please reach out to PST for approval as this has donor/tax reporting implications.
4105 – Rentals Used for project rental income.
Contributed Income
4001 – Individual Donations Donations made by an individual or trust.
4002 – Foundation / Public Support Donations from foundations, donor advised funds, universities, local governments, etc.
4003 – Corporate Donations Donations from companies that are not fee for service or sponsorships.
4004 – Government Grants Rare exception cases for select projects.
4006 – Fund Events – Gross Used for event sponsorships.
Fundrazr Campaign Coding
In Fundrazr, the default general ledger code for all campaigns is set to 4001 Individual Donations. Projects have the ability to set up alternate revenue codings by campaign, and should do so when another code is more accurate (i.e., an appropriate Earned Income or Contributed Income code. See above for the list of codes.). This is done by entering the appropriate campaign code in the ‘Default Campaign Account ID’ section when setting up the campaign in Fundrazr (Note: Please do not change the ‘Organization ID’ as this is how SGF identifies funds for your project) . Transactions will then get coded to your Sage financials with the specified campaign code.
