PEX and Brex Cards (Prepaid Expense Cards and Credit Cards) (Model A projects ONLY)

Active projects who find they are frequently using out-of-pocket funds for project expenses can apply for a spending card from Social Good Fund. We offer PEX or Brex cards, depending on your project’s balance, cash flow, and spending needs.

A PEX card is a VISA branded, declining balance debit card (i.e. it is a Prepaid expense card). PEX cards are available for projects with an account balance of at least $1,000.

Once you are issued a PEX card, you can submit the SGF form “Add PEX Fundsarrow-up-right” on our Members Portal to load up to $2,000 of your available project funds onto the card. Funds are not automatically added to your card so you must get your card and then request funds be added to it before use. Upon special request, we can add additional funds greater than $2,000 to your PEX card, if needed to make larger purchases. Please include your reason for requesting $2,000 or greater in your request (requests less than $2,000 do not require a reason).

Though often done more quickly, please allow up to five (5) business days for funds to be added to your PEX card. Same-day transfers should not be expected, so do your best to plan ahead. At times, and especially for funding large one-time add fund requests, SGF needs to transfer account funds for this purpose. This process can take up to five days (if the request is over a holiday weekend.)

A Brex card is a credit card with a flexible limit that we can set for you. It can be used for expenses that require a credit card (rather than a debit card), such as rental cars. Brex cards are available to projects with a relatively stable account balance of $10,000 or more.

When you receive a Brex card, you can choose a card limit that works for you (usually $1,000 - $5,000). We will encumber or set aside your chosen card limit from your project balance until the card is closed. The limit should be set at an amount that will be sufficient to cover your monthly use, and that you also feel comfortable having set aside from your project balance for this use. Once it’s set up, your revolving limit will be available to you each month for spending. If you need to change your Brex card limit, you can submit the SGF Form “Request Change to Monthly Spending Limit on Brex Cardarrow-up-right “ to request the change. We will process your request within 5-10 business days (or often sooner).

To request a PEX or Brex card, please complete our Expense Card Request Formarrow-up-right in the member’s portal. The policy clearly describes what you may and may not use the card for. Once we receive your signed policy, we will work with you to determine which type of card is right for you and order it for you. If you are hoping for a Brex card, please let us know your desired monthly limit when requesting the card and submitting the Expense Card Policy.

Cardholders must be Project Directors or employees (not volunteers or contractors). We typically limit expense cards to 1-2 per project to keep our overhead cost of administering the cards down. However, we recognize that there are certain situations where additional cards are necessary and appropriate for a project's needs. If you believe this applies to you, please reach out to discuss it.

As a cardholder you are required to keep and upload your purchase receipts to your online PEX or Brex account. Receipts should be uploaded right away if possible, and within 30 days of the purchase. If you fall behind on uploading your receipts, we may have to suspend your card (or funding of your card) until you are caught up. If you have lost a receipt, please attempt to get another copy from the vendor; if this is not possible, please make a note regarding it in the transaction notes in the PEX or Brex app. You are also required to know and track your card balance. You can track your balance via the PEX Card or Brex websitarrow-up-rightes. Both types of cards also have apps available that you can download to your phone for easy receipt tracking.

A project expense card cannot be used to take money out of an ATM. Nor can either of these cards be used to pay someone cash through Paypal or other online payment system. You should not use an expense card to pay for professional services or to pay an Independent Contractor (see the Independent Contractor section for those processes). You can, however, use a PEX or Brex card to set up recurring payments (e.g. paying a web host). Remember, it’s your responsibility to make sure your card has available funds.
